A worksheet can look complete on screen but lose a border or label when printed. Before changing the document, check whether the PDF page size, printer paper setting and loaded paper match.
A4 is 210 by 297 mm. US Letter is 8.5 by 11 inches, approximately 216 by 279 mm. A4 is slightly narrower and taller, so the two formats are not interchangeable at full size.
Choose the matching PDF edition
The Clinical Rotation Organizer, First 90 Days Organizer and Shift Life Planner include separate A4 and US Letter editions. Use the edition named for the paper loaded in your printer.
The original report-sheet bundle is supplied as US Letter. If you print that file on A4, inspect a fitted or reduced preview and make sure all labels and writing areas remain usable. A printer's printable area can introduce margins even when the file and paper have the same nominal size.
Know what the scaling settings do
Adobe's printing guidance distinguishes these options:
- Actual size: prints without scaling. Content outside the available paper area can be cropped.
- Fit: resizes the page to the selected paper's printable area and can enlarge or reduce it.
- Shrink oversized pages: reduces pages that are too large without enlarging smaller ones.
For matching editions, start by checking Actual size or 100%. If the preview clips the edge, try Fit or a shrink option and compare the result. The best setting depends on the file and printer; a particular label may differ between applications.

Check the preview before using paper
- Open the print dialog and select the correct printer.
- Set the paper size to match what is loaded.
- Confirm portrait or landscape orientation matches the template.
- Inspect all four edges, the footer and the smallest labels.
- Print one page, then check actual writing room and readability.
Automatic paper-source selection can behave differently on printers with multiple trays. If the wrong tray is selected, check the printer's own settings and the paper-size information in the print dialog.
Test typed entries as well as blank boxes
A fillable field may scroll on screen when the text is too long. That does not mean the entire entry will print. Use short notes, print a test page and move longer planning details to an additional page if needed.
Do not use real patient information to test a printout or send a screenshot to support. Fictional administrative notes are enough to check whether fields and margins behave as expected.
Keep a working print setting
Once you find a usable combination, note the PDF edition, paper setting, orientation and scaling option. Recheck if you switch printers or applications.
